Because our tour packages combine multiple services—including government-regulated safari permits, hotel reservations, private transport, and guided excursions—cancellations and refunds are processed based on the specific conditions set by government authorities and service partners.
Please review our cancellation terms carefully before booking your tour.
1. Forest Department Safari Permits (Jeep & Canter Safaris)
Ranthambore National Park safaris are strictly managed and regulated by the Rajasthan Forest Department.
Non-Refundable & Non-Transferable: Once a safari permit (Jeep or Canter) is booked and issued by the Forest Department, it becomes non-refundable, non-transferable, and non-adjustable under official government regulations.
Permit Name & Date Changes: Name, age, gender, ID, or date modifications are generally not permitted once a permit is processed. Any request for changes is subject entirely to government portal rules and availability.
Park Closures / Weather Conditions: If the Forest Department cancels safaris due to heavy rain, flooding, unexpected park closures, or VIP movements, refunds or alternative scheduling are governed strictly by the official policies of the Rajasthan Forest Department.
2. Hotel Accommodations & Transport Cancellations
Cancellations for hotel stays, private cab transfers, and local excursion logistics are processed according to the following standard timeline:
30 Days or More Prior to Arrival: 80% refund of the total hotel/transport package cost (20% retained as administrative and processing charges).
15 to 29 Days Prior to Arrival: 50% refund of the total hotel/transport package cost.
7 to 14 Days Prior to Arrival: 25% refund of the total hotel/transport package cost.
Less than 7 Days / No-Show: No refund will be issued for late cancellations, last-minute modifications, or non-arrivals.
Note: During peak holiday seasons (such as Diwali, Christmas, New Year, and long holiday weekends), hotels enforce strict 100% non-refundable booking terms regardless of notice period.
3. Fort Visits, Chambal Boating & Museum Excursions
Guided heritage walks, Chambal boat rides, and local museum tours cancelled 48 hours prior to the scheduled trip time are eligible for a 50% refund on the excursion component.
Cancellations made within 48 hours of the scheduled time or no-shows are completely non-refundable due to advance guide and transport reservations.
4. How to Request a Cancellation
All cancellation requests must be submitted in writing to ensure accurate record-keeping:
Send an email to [Insert Official Business Email] or message our official contact number via registered communication channels.
Include your Booking Reference ID, full name, travel dates, and reason for cancellation.
Cancellations will be considered effective from the date and time written notification is received by our team during business hours (9:00 AM – 8:00 PM IST).
5. Refund Processing Timelines & Method
Processing Time: Approved refunds will be processed within 7 to 10 business days from the date of written cancellation approval.
Payment Method: Refunds will be credited back using the original payment channel (Bank Transfer, Credit/Debit Card, or UPI) used during the transaction.
Banking Fees: Any transactional processing fees, bank charges, or gateway convenience charges incurred during original booking or refund transfer are non-refundable.
6. Special Circumstances & Emergency Adjustments
If a trip cannot take place due to extraordinary events beyond reasonable control (such as major travel bans, natural disasters, or unexpected government travel restrictions), Wild Roam Tours will make every reasonable effort to:
Re-schedule non-safari trip components (hotels, transport, excursions) to a future date subject to supplier availability and price adjustments.
Assist guests in obtaining official documentation if required for personal travel insurance claims.
